Job Purpose:

To deliver a comprehensive organisational, administrative and management support service to the Leadership team.  Oversee the smooth running of the Management Office and support in the preparation of all meetings, and tasks as directed.

Key Accountabilities:

Duties to the LT

  1. Develop a thorough understanding of NWF’s work areas to ensure strategic linkages/appropriate dissemination of information/assignment of actions.
  2. Maintain and review an effective system to fully brief and prepare the LT ahead of meetings/events.
  3. Assist the LT with the preparation of PowerPoint presentations, speeches and projects as requested and to track work across the charity to ensure the nominated Manger undertakes action within the agreed timeframe.
  4. Facilitate the planning of routine meetings for the LT (SLT, Monthly, Quarterly) and attend all meetings to take minutes and follow up on action points.
  5. Provide general administrative services including diary management, booking meetings, planning events, organising travel and preparing travel itineraries.
  6. Coordinate and collate departmental reports and documentation for Board meetings and other meetings with outside partners. To write the executive summary summarising their contents.
  7. Attend, take and circulate minutes for the LT’s meetings and any other relevant meetings
  8. Read, research, summarise documents, reports and articles, and advise the LT of current sector developments, etc.
  9. Develop, maintain and review the LT’s admin systems to achieve efficiency.
  10. Maintain and store all records in line with NWF document management and IT policies.
  11. Upload articles and other information to various social media and websites of NWF
  12. Update any financial transactions into the accounting records so that performance and metrics reporting can be produced accurately in a timely manner.
  13. Any other duties commensurate with the accountabilities of the post.

  1. To ensure all records are maintained and stored appropriately in line with NWF document management and IT policies.
  2. To comply with all policies, procedures, legal and regulatory requirements.
